Boards, lists, and tasks
A board gives related tasks a home. Use a personal board for work you manage yourself, a workspace board for shared work, or a project board for tasks tied to a project.
Before you begin
Sign in, choose the correct workspace, and open Tasks. On the web, the main task workspace is at /admin/tasks; a project's Tasks area opens tasks in that project context. Available actions depend on your task and board permissions.
Create a board on the web
- Choose Create board.
- Enter a Board name.
- Review Who is this board for? The available choices can include:
- Personal: private to you until you choose to share it.
- Everyone: available to teammates who can access tasks.
- This project: available to people with access to the current project.
- Choose a board color if it helps you recognize the board.
- Choose Create board and open the new board.
The available audience choices depend on where you create the board and what your access allows. Check the audience before adding sensitive work.
Add a task
- Open the intended board and choose Add task.
- Give the task a clear title, such as “Confirm equipment delivery.”
- Add a description with enough context for the person doing the work.
- Choose a status and, where useful, priority, assignees, dates, and labels.
- Save the task and confirm it appears on the board.
Use a due date for when the task should be finished. An assignee describes responsibility; it does not replace checking that the person has access to the board.
Choose a view
| View | Useful for |
|---|---|
| List | Scanning tasks and their fields together. |
| Kanban on web / Board on mobile | Following tasks grouped by status. |
Both views represent the same board's tasks. Update the status as work progresses, and clear filters if a task seems to disappear after an update. Board status names can differ between boards.
Open a task to read its details and add comments beside the work. Keep the task's title and description about the work itself, and use comments for discussion and updates.
iPhone and iPad
Use New Board or New Project Board from the board list's menu, and New Task inside a board. The mobile View menu uses List and Board. Common filters include Assigned to me, priority, and lifecycle views.
Mobile presents task editing through native screens and sheets rather than the web's dialogs and drawers. Review pending changes after reconnecting if you have been working offline. Shared updates and newly available content still need a connection to arrive.
Organize a busy board
Use short, distinct task titles, labels for recurring categories, and comments that explain decisions. Board settings provide status and label management when you have the required access. Use subtasks and dependencies when a checklist or status alone does not describe the relationship between pieces of work.
Troubleshooting
| Problem | Check |
|---|---|
| No create action | Task access, board permissions, and the current workspace/project. |
| A task is missing | Selected board, filters, and archive/trash view. |
| An assignee is absent | Their workspace membership and eligibility for the board. |
| Status cannot change | The task's blocking relationships and required status conditions. |
