Share a file
File Sharing lets you hand off a file without inviting someone into an entire project. Decide whether the handoff is for selected workspace members or for people who can open a public link.
Before you begin
Choose the correct workspace and open File Sharing. On the web, the workspace is at /admin/tools/fileshare. You need file-sharing access and permission to upload or change sharing settings.
Upload and share on the web
- Choose Upload File and select a file.
- Wait for the upload to finish.
- Under Share with people, select the workspace members who should receive access.
- Leave Create a public link off for a private handoff to selected members.
- Save the sharing settings and confirm the file appears in the sharing workspace.
Private files remain limited to the people and authorized access paths allowed by the workspace. A selected person still needs the appropriate active workspace access to use the authenticated sharing flow.
Create a public link
- Open the file's sharing settings.
- Enable Create a public link.
- Choose whether to Show my name on the public page.
- Choose Set Expiration and enter the Public link expiration, or deliberately select Never Expires.
- Save and copy the public link for the intended handoff.
A public link can be used by someone who has the link. Selecting workspace recipients does not turn that public link into a recipient-verified link. Choose private sharing when selected-member access is what you need.
An expiring link stops providing new access after its cutoff. Never Expires keeps public access available until it is removed. Changing access later cannot recall copies someone has already downloaded.
iPhone and iPad
Open File Sharing, then Shared files. Use the upload action and the native Share file composer. Existing records use Sharing settings. Private member selection and public-link controls are presented in a mobile sheet, and the device's share interface can help hand off a link.
Keep the app connected until a new upload and its sharing record finish saving. A preview, a completed source upload, and a saved share are related but distinct parts of the workflow. Check the result before sending another copy.
Change or stop a share
Return to sharing settings to adjust selected members, public access, or expiration. Check the saved result after changing access. If you remove the file share or disable its public access, its public page should no longer offer that share through the normal link flow.
Use a file request instead when you need someone to send files to you. File requests provide an upload form; they do not expose a shared folder of other people's submissions.
Troubleshooting
| Problem | Next step |
|---|---|
| There is no public link to copy | Enable public access and save the settings first, if that is the intended access model. |
| A recipient cannot open a private file | Check their membership, selected recipient access, and current workspace. |
| A public link expired | Review its saved expiration and update the handoff if appropriate. |
| Preview is pending or unsupported | Check whether the original is available to download; preview support depends on format and processing. |
| Upload failed | Read the error and retry the incomplete upload; check for an already-saved record before creating another. |
