Requests, movement, and history

An inventory request records something you need or plan to obtain. It is different from an item already on hand and different from a file request, which collects uploads from another person.

Before you begin

Choose the workspace and open Inventory. You need request-create access to record a need, and the appropriate update or conversion access to turn it into inventory later.

Record a need

  1. Open the inventory create menu and choose Create Request.
  2. Enter its Name and review Status.
  3. Add photos or Notes that explain what is needed.
  4. In Details, record quantity, unit, desired location, and project or group context when useful.
  5. Add estimated price, currency, vendor, purchase URL, or shipment information if you have it.
  6. Save and check the request in the Requests view.

A saved request documents the need. It does not itself place an order with the vendor. Keep the request up to date as the real purchase or delivery progresses.

Convert a request when the situation changes

On the web, open the request and use Convert Request when available. The form can offer Received or Shipped, with a location or destination appropriate to that choice. Review the item status, project context, and available shipment details before confirming.

Some requests associated with an existing item offer Add to existing item or Create new item. Choose the option that matches what physically happened, then verify the resulting inventory and quantity.

On iPhone and iPad, the corresponding request action is Move to Inventory. The native conversion sheet has its own layout. Review its destination and quantity rather than expecting the web dialog's placement or wording on every control.

Review a move or change

Open the record's history/activity area to understand available recorded changes. Use it with the current location and quantity when investigating a discrepancy.

When moving an item, verify the destination before confirming, then reopen its new location. Record changes describe the tracked state; someone must still carry out and verify the physical work.

Archive, trash, and permanent removal

Where offered, archive and trash are lifecycle views for records that are no longer part of everyday work. Check the relevant view before recreating a record you cannot find.

Move-to-trash and restore actions are separate from permanent deletion. Read the confirmation carefully, especially when a location or group contains other records. A permanent removal is not the same as hiding an item from the active list.

Retained records and stored files can still contribute to workspace usage. See the storage usage explanation when clearing space is the goal.
